Cancellation and Refund Policy

This policy governs the cancellation of tours and services booked through Guate Magic Tour. By confirming a reservation, the client accepts these terms.

 

1. Mandatory Notification

 

All cancellation requests, date changes, or modifications must be submitted via email to: info@guatemagictour@gmail.com. The cancellation is effective only upon receiving a written confirmation response from Guate Magic Tour.

 

2. Dual Cancellation Structure

 

Guate Magic Tour operates under two main policies, which will be clearly indicated on the specific tour page or in your confirmation documents.

 

A. Flexible Policy (Applies to most Day Tours)

 

This policy is designed to offer flexibility for standard day-tour bookings:

B. Strict Policy (Applies to Multi-Day Tours and Special Expeditions)

 

This policy applies to services requiring significant pre-payment to third-party suppliers (e.g., specific hotels, multi-day transport permits):

  • Non-Refundable: All payments are 100% non-refundable regardless of the notice period, unless otherwise stated on the specific tour’s description page.

 

3. Changes and Amendments

 

  • Date Changes: Date changes for Flexible Policy tours are permitted without surcharge if requested 72 hours in advance and are strictly subject to new date availability.

  • Destination Changes: Changes to a different destination are allowed without penalty only if the new tour has the same original value and there is availability, with 72 hours prior notice.

  • Itinerary Changes During Service: Requests to modify the itinerary after the service has started may result in additional charges and are subject to guide and supplier approval.

 

4. High Season & Holidays

 

Bookings scheduled for major holidays are subject to unique supplier contracts and increased risk. Therefore:

  • No Refunds will be issued for cancellations of reservations made during Easter Week (Semana Santa) and the Year-End/New Year period (defined as December 20th to January 5th).

  • Cancellations for these dates must be made at least 30 days in advance to avoid a 100% cancellation penalty.

 

5. Services Booked as Intermediary

 

Guate Magic Tour acts as an intermediary for all services, particularly for flights, specialized transport (helicopters), and hotel bookings.

  • Exclusions: This policy does not apply to reservations for airlines, helicopter tours, or hotels. These components are subject to the specific cancellation policies of the respective external providers (airlines, hotels), which the client is responsible for consulting. Guate Magic Tour cannot guarantee refunds for these third-party services.

  • Helicopter Tours: Sales are typically final and incur a 100% penalty.

 

6. Force Majeure & Unforeseen Circumstances

 

Guate Magic Tour reserves the right to cancel or postpone a tour due to circumstances beyond our control (Force Majeure), including natural disasters, political unrest, strikes, or adverse weather conditions that make the tour unsafe or impossible to operate.

  • In such cases, Guate Magic Tour will attempt to offer an alternate service or credit. If the service is entirely omitted, the client accepts that the service is non-refundable if the cause is truly external and unforeseen.
